UMS is the Data Controller responsible for processing your personal data under the General Data Protection Regulation (GDPR).

We only collect information necessary for processing your application, including:

  • CV, portfolio, certificates and other documents you upload
  • Motivation letter or application explanation
  • Links (e.g., LinkedIn, portfolio websites)
  • Employment history and education
  • References (only if provided by you)

We do not request or intentionally collect sensitive data (e.g. medical information, religion, ethnicity). If you voluntarily provide this information, we advise you to avoid doing so.


3. How We Use Your Data

We process your personal data solely for recruitment-related purposes:

  • Evaluating your application
  • Communicating with you during the hiring process
  • Scheduling interviews
  • Assessing suitability for current and future job openings
  • Verifying references (only with your permission)
  • Complying with legal requirements if you are hired
  • Improving and optimizing our recruitment processes

Your data will not be used for marketing purposes.


4. Legal Basis for Processing

  • Pre-contractual necessity: to handle your application

  • Consent: only when storing your data for potential future roles

5. Data Retention

UMS applies the following retention periods:

4 weeks — standard retention

If you are not hired, your data will be deleted within 4 weeks after the application process ends.

12 months — only with your explicit consent

If you agree to be included in our talent pool for future positions, we store your data for up to 12 months.

You can withdraw your consent at any time by emailing recruitment@urbanmobilitysystems.nl.

If you are hired

Relevant application data becomes part of your employee file and is stored according to our internal HR policies.


6. Sharing Your Data

We only share your data when necessary for recruitment purposes:

  • UMS HR team members
  • Hiring managers or team leads involved in the process
  • IT and hosting providers that support our website
  • Form tools and recruitment systems used for processing submissions
  • Google Workspace (email communication)

Third-party tools used on our website

These tools may process personal data such as IP addresses or device information:

  • Cookiebot (consent management platform)
  • Google Analytics (website analytics)
  • LinkedIn Insight Tag / Ads Manager (advertising & campaign insights)

All tools operate with GDPR-compliant Data Processing Agreements (DPAs) and only activate when consent is given, where required.

We never sell or trade your personal data.

UMS uses cookies and tracking technologies to improve website performance and analytics.
